En la empresa, este n\u00famero aparece en su placa, pero tambi\u00e9n en su n\u00f3mina y en <a href=\"https:\/\/www.my-intranet.com\/es\/solution-rrhh\/caracteristicas\/expedientes-personal\/\">el expediente de RRHH del empleado<\/a>. Sirve para identificar de forma exclusiva al empleado dentro de la empresa.<\/p>\n<p>En Mi Intranet SGRH, cada empleado tiene un identificador \u00fanico que utiliza para conectarse. Este identificador puede ser su n\u00famero de RH. Pero tambi\u00e9n puede ser su direcci\u00f3n de correo electr\u00f3nico o un nombre de usuario compuesto por su nombre y apellido. Adem\u00e1s del identificador de acceso, tambi\u00e9n es posible asociar uno o varios n\u00fameros de personal a cada empleado.<\/p>\n<h2>Formato del n\u00famero de personal de RRHH<\/h2>\n<p>Mi Intranet SGRH trabaja con un sistema inteligente de campos personalizados. Estos campos se asocian a cada empleado individualmente. En el caso del n\u00famero de personal, ser\u00e1 un campo de texto que puede ser una secuencia de n\u00fameros, letras o una mezcla de ambos. El formato propuesto ofrece una gran libertad. Esta informaci\u00f3n debe permitir identificar al empleado en los registros de la empresa.<\/p>\n<p>Un empleado puede tener m\u00e1s de un n\u00famero de personal :<\/p>\n<ul>\n<li>N\u00famero de n\u00f3mina : se utiliza en las n\u00f3minas.<\/li>\n<li>N\u00famero de personal inform\u00e1tico : para la conexi\u00f3n con las distintas aplicaciones.<\/li>\n<li>N\u00famero de placa : para acceder a las oficinas de la empresa.<\/li>\n<\/ul>\n<p>Esto no es un problema en Mi Intranet SGRH, ya que es posible tener tantos n\u00fameros de personal diferentes como se desee gracias a los datos integrados en los campos personalizados.<\/p>\n<figure class=\"wp-block-image\"><img decoding=\"async\" width=\"457\" height=\"78\" src=\"https:\/\/www.my-intranet.com\/wp-content\/uploads\/2020\/12\/matricule-rh.png\" alt=\"n\u00famero de personal de RRHH\" class=\"wp-image-762\" style=\"display: block; margin-left: auto; margin-right: auto;\" \/><\/figure>\n<p>A continuaci\u00f3n, algunos consejos para definir el formato de un n\u00famero de personal :<\/p>\n<ul>\n<li>Este n\u00famero de c\u00f3digo debe ser \u00fanico para que no haya riesgo de confusi\u00f3n entre los empleados en las diferentes bases de datos en las que aparece.<\/li>\n<li>Debe cumplir el objetivo asignado. Algunos programas inform\u00e1ticos son poco flexibles y no aceptan n\u00fameros con letras o guiones. No es el caso de Mi Intranet SGRH, que es especialmente flexible para facilitar la gesti\u00f3n administrativa de los empleados.<\/li>\n<\/ul>\n<p>Para cumplir con el GDPR, el n\u00famero de personal de RRHH no debe contener ninguna informaci\u00f3n personal. As\u00ed, la empresa no debe utilizar el n\u00famero de la seguridad social de la persona como identificador \u00fanico en la n\u00f3mina.<\/p>\n<h2>\u00bfPor qu\u00e9 utilizar un n\u00famero en lugar del nombre del empleado?<\/h2>\n<p>Para el empresario, puede resultar tentador utilizar la identidad del empleado para identificarlo. De hecho, esto podr\u00eda parecer mucho m\u00e1s sencillo sobre el papel. Sin embargo, esto plantear\u00eda algunas dificultades:<\/p>\n<ul>\n<li>si dos empleados tienen el mismo nombre, ser\u00eda imposible distinguirlos.<\/li>\n<li>el formato utilizado puede ser diferente de un software a otro : &#8220;nombre &#8211; apellido&#8221;, &#8220;nombre &#8211; apellido&#8221;, etc.<\/li>\n<\/ul>\n<p>Por lo tanto, el uso de un identificador \u00fanico basado principalmente en una secuencia \u00fanica de n\u00fameros es la \u00fanica forma fiable de garantizar la unicidad de cada perfil de empleado y de permitir una comunicaci\u00f3n fiable entre Mi Intranet SGRH y un software de n\u00f3minas.<\/p>\n<h2>Importaci\u00f3n de n\u00fameros de personal<\/h2>\n<p>Mi Intranet SGRH se dise\u00f1\u00f3 desde el principio para facilitar la vida a sus usuarios. In the company, this number is shown on their badge but also on their pay slip and in <a href=\"https:\/\/www.my-intranet.com\/en\/help\/modules\/human-ressource-personel-file-management\/\">the employee\u2019s HR file<\/a>. It is used to uniquely identify the employee within the company.\n\nIn My Intranet, each employee has a unique identifier that is used to log on. This identifier can very well be his HR personnel number. But it can also be his email address or a login composed of his first and last name. In addition to the login identifier, it is also possible to associate one or more matricule numbers to each employee.\n<h2>Format of the HR personnel number<\/h2>\nMy Intranet HRIS works with an intelligent system of custom fields. These fields are associated to each employee individually. For the personnel number, this will be a text field which can be a sequence of numbers, letters or a mix of both. The proposed format offers great freedom. This information must allow the employee to be identified in the company\u2019s records.\n\nAn employee may have more than one personnel number :\n<ul>\n \t<li>Payroll number : used on pay slips.<\/li>\n \t<li>IT personnel number : for connection to the various applications.<\/li>\n \t<li>Badge number : for access to the company\u2019s offices.<\/li>\n<\/ul>\nThis isn\u2019t an issue in My Intranet since it is possible to have as many different personnel numbers as you wish thanks to the data integrated in the custom fields.\n<figure class=\"wp-block-image\"><img src=\"https:\/\/www.my-intranet.com\/wp-content\/uploads\/2020\/12\/matricule-rh.png\" alt=\"HR personnel number\" class=\"wp-image-762\" style=\"display: block; margin-left: auto; margin-right: auto;\"><\/figure>\nHere are some tips to define the format of a personnel number :\n<ul>\n \t<li>This code number must be unique so that there is no risk of confusion between employees in the different databases where it appears.<\/li>\n \t<li>It must meet the assigned target. For example, you can include a letter to identify the location if you need to distinguish between them.<\/li>\n \t<li>It must be compatible with the constraints of the different systems where it will be integrated. Some softwares are not very flexible and will not accept numbers with letters or dashes. This is not the case with My Intranet, which is particularly flexible to facilitate the administrative management of employees.<\/li>\n<\/ul>\nIn order to be compliant with the GDPR, the HR personnel number must not contain any personal information. Thus, the company should not use the individual\u2019s social security number as a unique identifier on the pay slip.\n<h2>Why use a number instead of the employee\u2019s name?<\/h2>\nFor the employer, it might be tempting to use the employee\u2019s identity to identify him. Indeed, this might seem much simpler on paper. However, this would pose some difficulties :\n<ul>\n \t<li>if two employees have the same name, it would be impossible to distinguish them.<\/li>\n \t<li>the format used could be different from one software to another: \u201cname \u2013 first name\u201d, \u201cfirst name \u2013 last name\u201d, etc\u2026<\/li>\n<\/ul>\nTherefore, the use of a unique identifier mainly based on a unique sequence of numbers is the only reliable way to guarantee the uniqueness of each employee profile and to allow a reliable communication between My Intranet and a payroll software.\n<h2>Importing personnel numbers<\/h2>\nMy Intranet was designed from the beginning to make life easier for its users. So rather than having to enter personnel numbers one by one under each employee profile, My Intranet offers a batch import module that allows you to import thousands of personnel numbers in a few seconds. This also limits the risk of errors during data entry.\n\nYou can use the import module at any time to enroll new employees or later to update profiles in bulk in order to be synchronized with your internal records.\n<h2>The use of personnel numbers<\/h2>\nThe personnel numbers can be used at different levels in My Intranet :\n<ul>\n \t<li>in <a href=\"https:\/\/www.my-intranet.com\/en\/help\/modules\/leave-management-software\/\">the vacation module<\/a>, at the report level where the personnel number can be displayed to facilitate payroll import.<\/li>\n \t<li>in <a href=\"https:\/\/www.my-intranet.com\/en\/help\/modules\/corporate-directory\/\">the internal directory<\/a>, on the employee\u2019s HR file.<\/li>\n \t<li>in <a href=\"https:\/\/www.my-intranet.com\/en\/help\/modules\/expense-account-management\/\">the expense report module<\/a>, on the reports where the personnel number can once again be retrieved to facilitate the import into the accounting software.<\/li>\n \t<li>in <a href=\"https:\/\/www.my-intranet.com\/en\/time-tracking-software\/\">the planning module<\/a>, again at the report level.<\/li>\n<\/ul>\nThe personnel number is used as an internal correspondence key that can be reused with third-party software. Human resources management is thus more fluid and simplified from an administrative point of view.\n<h2>Where can I view my HR number?<\/h2>\nOn My Intranet, for the employee, the personnel number is visible in the internal directory in the data associated with each profile. Depending on the configuration, this information will be visible to the whole company or only to the employee and the HR database administrators.\n\nThe personnel number is included in the various reports generated by each module.
